Wheels on the Bus FAQ


Who is eligible to apply?

WCPSS elementary schools with Title I designation are eligible to submit a single application for a single field trip.

Where can we go?

Field trip destinations must be selected from a list of 14  arts/cultural  options in Wake County. Choices include Carolina Ballet, NC Museum of Art, Artspace, Raleigh Little Theatre, NC Museum of History, and more!

What will the grant cover?

The fund will cover transportation costs associated with one field trip. Funds may be used for either WCPSS buses or private sources of transportation. Assistance with admission cost is also available.

When can we go?

Field trips may take place any time before June 12, 2024.

When is the deadline to apply?

Applications will be accepted on a rolling basis from now through April 2024 or until all available funds have been awarded. The application will close once all available funds have been distributed.

When will we find out if we will receive funding?

Applications will be reviewed at the beginning of each month and awards will be made via email within two weeks.

How do we apply?

How many applications may my school submit?

One. Schools may only submit only one application per school year. Teachers and administration are encouraged to discuss this opportunity so that schools agree on the one application that will be submitted. Schools may not submit multiple applications.

What kind of transportation will this grant cover?

Funds may be used for either WCPSS buses or private sources of transportation.

When will our school receive the money?

After the primary grant contact has received the official award notification, details about accepting the payment will be sent directly to the school secretary within several weeks.

Will there be a final report due?

Two things will be due after your field trip is complete: an online evaluation and a financial report. The online evaluation link will be emailed to the primary grant contact directly and should be submitted within two weeks of the field trip. A financial report form, to be completed by your school secretary, will also be required.

What if we need to change the date of our field trip?

If the date of your field trip changes from the information you provided in your application, work out the new date directly with the venue and then let United Arts know.

What happens if our field trip gets completely canceled and will not take place this school year?

If your field trip cannot happen this school year, your grant award will have to be refunded.

Why do you ask for the school secretary’s information in the application?

Since school secretaries are generally responsible for a school’s bookkeeping, we find it helpful to communicate directly with the school secretary about the payment portion of this grant award.

What about year-round schools?

If your field trip needs to take place over several days so that all students in a grade level across multiple tracks are able to participate, you may apply for the total cost of transportation.

How are funding decisions made?

Funds are awarded in the order that eligible applications are received.

Who will contact the venue to coordinate the details of our field trip?

You! Schools are responsible for communicating with venues to coordinate dates, number of students, etc.

When did Wheels on the Bus start?

This grant opportunity for field trips launched in the 2016-2017 school year.
